
Book efficiently and eliminate errors with our user-friendly scheduling. Measure productivity for your staff and the business, track no-shows and service history. Customizable views and color-coding make it easy for you to send visual cues to your reception team about new or returning clients, staff request preference and appointment status.
Multiple Services Notation: The multiple services notation displays the number of services that the customer has scheduled for that day next to their name on the appointment book. It will be in parenthesis—for example: (2) Jenny Smith.
Store Information: The Store Info button provides storage for pertinent information that relates to the location. This area can house the salon’s physical address, hours of operation, key team member’s information as well as directions. It is a great tool that can be accessed quickly from the appointment book screen.
Productivity Blocking: Use productivity blocks on the appointment book to designate productive or non-productive time. When creating a block time reason in the Blueprints area, you will be required to determine if the block is productive or non-productive. Non-productive blocks count against the productivity of the staff member.
Tracking Blocked Time: When security is set on blocking the appointment book, the system will record the staff code of the person blocking the book inside the block. The block will read: ‘Blocked by Jennifer’, then list the block reason and anything written in the Notes field of the Block Time screen.
Multiple Blocking: When blocking the book, you can block more than one staff member at the same time by selecting to Multiple Block. This is great for blocking the book for holidays, meetings, etc. and saves time.
Schedule Group Tabs: The schedule groups that you determine in the Blueprints area of the software will be displayed on the bottom of the appointment book screen as tabs. This makes it easy to move between types of services, service levels, etc.
View Working Staff: You have the ability to quickly view only the working staff for that particular day.
Staff Names: Staff member’s names can appear in a designated color of your choice on the appointment book. The setting links the color to the staff category that the staff member is linked to in Blueprints. Therefore all colorist names would be in Red, stylists in blue, etc.
Viewing Service Descriptions: When viewing a staff member’s service list, you can click on a service and the description of the service will be displayed. You also have the ability to print this list.
Standing Appointments: The standing appointment feature offers you the ability to book multiple appointments for the same service, different days all at one time. You also have the option to cancel one or all standing appointments with the click of a button. You can also choose to have a pop-up screen warn you when a customer has a desired amount of standing appointments remaining. This will remind you to reserve future appointments and guarantee productivity.
Wait List and Appointment Search: this feature allows you to add customers to a waitlist and give you the opportunity to search for availability as well as reserve appointments directly from this screen. The Wait List function allows you to add a customer based on service and time available to a master list. A key feature of the Wait List is that it is self-monitoring! You will automatically be notified if the desired appointment time becomes available.
eMail Confirmations: Appointments can be confirmed by email. This saves time and labor cost. The customer must have an e-mail address in their file along with email chosen as the primary form of contact. The message template can be customized. When the message is sent, the system automatically changes the status of the appointment to Left Message.
